Terms of Engagement

1. About These Terms

These Terms of Engagement (“Terms”) govern the provision of psychological assessment services by Psychology Reports, operated by Insight Works Pty Ltd (ABN 39 606 283 774) (“the Practice”, “we”, “us”). By booking or proceeding with an assessment, you agree to be bound by these Terms.

These Terms apply to all assessment services, including diagnostic assessments, functional capacity assessments, medico-legal and independent assessments, and any other services provided by the Practice. Separate service agreements may apply to NDIS-funded, WorkCover, or DVA-funded engagements.

All services are provided in accordance with the Psychology Board of Australia Code of Conduct, the Australian Psychological Society Code of Ethics, and applicable AHPRA registration standards.

2. Scope of Services

Psychology Reports provides psychological assessment services only. We do not provide ongoing psychological therapy, counselling, crisis support, or case management. If you require these services, we will refer you to an appropriate provider.

Assessment services consist of one or more clinical sessions, psychometric testing, scoring and interpretation, and the preparation of a written report. The scope of each assessment is set out in your intake documentation and confirmed at the time of booking.

We are not an emergency service. If you or someone you know is in immediate danger, call 000. For mental health crisis support, contact Lifeline on 13 11 14, the Suicide Call Back Service on 1300 659 467, Kids Helpline on 1800 55 1800, or 13YARN on 13 92 76 (24-hour support for Aboriginal and Torres Strait Islander peoples).

3. Consent

Before your assessment commences, you (or your parent or legal guardian if you are under 18) will be asked to sign a consent form. This form covers:

  • Consent to the assessment and use of psychometric instruments
  • Acknowledgement of the purpose of the assessment and the anticipated report format
  • Authorisation for disclosure of the report to specified third parties
  • For medico-legal or independent assessments: acknowledgement that the report is prepared for the instructing party
  • Acknowledgement of these Terms of Engagement and our Privacy Policy

For child assessments, consent is provided by a parent or legal guardian with parental responsibility. Where parental responsibility is shared, consent from both parents is generally required. We may decline to commence an assessment until consent arrangements are clarified. Where parents or guardians are separated, we may require evidence of parental responsibility arrangements, and you are responsible for advising us of any orders of the Federal Circuit and Family Court of Australia (FCFCOA) relevant to consent or access to records prior to the assessment.

Sessions and feedback meetings may not be audio- or video-recorded by any party without prior written consent.

4. Fees and Payment

Current fee information is set out on our Fees & Rebates page. Fees are confirmed in writing at the time of booking. For medico-legal and independent assessments, a written quote is provided before scheduling proceeds.

Diagnostic psychological assessments are GST-free under section 38-7 of the A New Tax System (Goods and Services Tax) Act 1999. Medico-legal and independent assessment reports prepared for a third party are subject to GST.

A deposit may be required to confirm your booking. The deposit amount will be advised at the time of booking. Deposits are non-refundable if you cancel with less than 48 hours' notice or fail to attend.

  • Payment is due on the day of assessment unless other arrangements have been agreed in writing.
  • Accepted payment methods include EFTPOS, credit card, and bank transfer.
  • A late payment fee of $50 may be applied to invoices unpaid more than 14 days after the due date.
  • For NDIS-funded assessments, a signed service agreement must be in place before scheduling.
  • For WorkCover and DVA assessments, written approval or a valid claim number is required before scheduling.

Where a Medicare rebate applies, the Practice is not a bulk billing provider. You will be required to pay the full fee at the time of service and claim the rebate through Medicare independently.

5. Cancellation and Rescheduling

We ask that you provide at least 48 hours' notice if you need to cancel or reschedule an appointment. This allows us to offer the time to another client.

  • Cancellations with more than 48 hours' notice: no charge.
  • Cancellations with less than 48 hours' notice or non-attendance without notice: a cancellation fee may apply, up to the full session fee.
  • If we need to reschedule due to practitioner unavailability, we will offer you an alternative appointment at the earliest opportunity at no additional charge.

Cancellation fees for WorkCover, NDIS, and DVA-funded appointments are governed by the applicable funding scheme rules and the terms of your service agreement.

6. Report Preparation and Copyright

A written report is prepared following the completion of all assessment sessions. The report is typically provided within 2–3 weeks of the final session for diagnostic assessments. Medico-legal and independent assessment reports are typically provided within 10–15 business days of evaluation completion and receipt of all instructing materials.

The written report is a clinical document prepared by the assessing psychologist and constitutes that psychologist's professional opinion at the time of assessment. Reports reflect information available at the time of assessment and do not constitute ongoing clinical advice.

Copyright in all reports remains with the assessing psychologist as author. Providing a report to a client, instructing party, or authorised third party grants a right to use the report for the purposes for which it was prepared; it does not transfer copyright ownership.

Clinical reports (diagnostic, FCA, specialised): The report is provided to the client (or parent/guardian for child assessments) and to any third parties authorised in the consent form.

Medico-legal and independent assessment reports: The report is prepared for and provided to the instructing party (solicitor, insurer, or other body) as the primary recipient. A copy will be provided to the evaluee where permitted by the instructing party and not contrary to law.

The Practice retains a copy of all reports in accordance with its record-retention obligations. Reports may not be altered or reproduced in a way that misrepresents the findings.

7. Confidentiality

Your personal and health information is handled in accordance with our Privacy Policy. Information gathered during the assessment will not be disclosed to third parties without your written consent, except as required by law or in circumstances set out in the Privacy Policy (including mandatory reporting obligations and legal compulsion).

8. Limitations

A psychological assessment provides a professional opinion based on the information available and the results of standardised instruments administered at a specific point in time. An assessment is not a guarantee of a particular diagnostic outcome and does not replace the clinical judgement of a treating practitioner.

To the extent permitted by law, the Practice's liability for any loss arising from the provision of services is limited to the re-performance of the relevant service or the refund of fees paid for that service.

10. Governing Law

These Terms are governed by the laws of Queensland, Australia. Any dispute that cannot be resolved informally will be subject to the jurisdiction of the courts of Queensland.
